eForm FAQ

What is eForms?

The eForms site has been established as a convenient resource for all web users to be able to quickly locate institutional, electronic forms posted on https://www.southalabama.edu. Forms are organized by department or college.

The site url is https://www.southalabama.edu/departments/eforms and the page can be found in the main A-Z index for the website.

Why use eForms?

Our goal is to have the current version of each form saved in the department folder responsible for maintenance and upkeep of the form. For example, the travel reimbursement form should be saved in the travel eforms folder, /departments/eforms/travel.  If some department creates a help page for their staff and points to the travel form, the link should simply be set to the form located in the travel directory.

This is extremely helpful because when the form is updated in three months, it will be updated in only one location and link to the form will open the up-to-date version.  In keeping with the goal to maintain only one version of the form, any department  can link to a form but they should not download a of copy which is then uploaded to their own departmental folder. 

How are you involved?

• Each department will need to establish a webmaster responsible for maintenance of their eForm page and let Web Services know so appropriate access can be granted to the files and the individual can be trained on the tools required to maintain your page and upload revised files.  This may be the webmaster who has been trained and supports your departmental or college site.

• For many of the departments, a page has already been created using forms that were referenced by your department on the old eforms page. You will need to check the accuracy of links on this page and upload the most current version of your forms.
• In addition, forms may be added or removed from your eForms page and you will be able to make the necessary changes. Daily maintenance is easy.
